Speaker programs, run right.

Apex is an independent medical communications firm. We manage speaker bureaus and faculty for pharmaceutical education and marketing teams: recruiting the room, preparing the speaker, running the event, and reporting every detail.

A full room, on time, and on the record. Independent. Speaker programs since 1994.

Event formats we run

  • Dinner programs
  • Lunch and learns
  • Speaker training
  • Symposia
  • Web conferences
  • Webcasts
  • Advisory boards

Four things, all under one roof.

All four run on Apex staff and Apex systems, not subcontractors. We built that combination of internal resources as the company grew.

Speaker program management

Communications, scheduling, travel, venue resources, client reporting, and compliance activities are coordinated by experienced program managers, so your faculty arrives prepared and motivated and your speakers give their best presentation.

Program details are tracked meticulously. You get the data to understand outcomes and to meet corporate and government requirements.

Speaker events

Thousands of events, in every format the work takes. Our experience with healthcare providers, venues, audio-visual production, and content strategy means your event runs as planned and on budget, with registrations, attendance, evaluations, and transactions in one system of record.

Medical education content

We understand, shape, reference, display, and submit the clinical content and messaging behind your presentations and collateral.

  • Medical editors turn clinical data and product features into clear, credible presentations.
  • Graphic designers add clarity and impact to the detail of your educational message.
  • Multimedia specialists and web programmers fit the content to the venue: dinner event, symposium, lunch and learn, HD video, or web conference.

HCP recruitment and the communications center

Our on-premises communications center, with 50 communicator stations, works alongside interactive voice response, email, and internet registration. From the first invitation to the final attendee, the center brings experience, medical knowledge, and refined methods to sustaining interest and participation in your program.

Contacts with speakers, registrants, and client field forces are handled by multiple levels of management, so answers are accurate and registrations are fast. Client stakeholders see program information through data transfer or a secure client portal.

Everything in-house

  • 50-station communications center
  • Program and event management staff
  • Medical editorial
  • Moderator team
  • Web conference producers
  • Desktop publishing
  • Multimedia designers
  • Internet programmers
  • Real-time internet reporting servers
  • Client data-exchange interfaces
  • Speaker management systems
  • Compliance data reporting

Compliance is built into every program.

We give our clients confidence that their speaker programs comply with corporate, state, federal, and industry guidelines. In practice that means four things.

  • Events matched to state-by-state legislation
  • Value exchanges recorded at every faculty event
  • Speaker fees and travel kept within approved parameters
  • Corporate HCP reporting requirements followed

A program, hour by hour.

How the pieces of a dinner program fit together, from the first invitation to the final report. The clock here is an illustration: times and sequence vary by program, format, and client.

  1. Weeks before

    Invitations go out

The communications center opens registration by phone, email, and web. Faculty travel and the venue are booked and confirmed.

  2. Days before

    Faculty briefed, content final

The speaker has the deck and the logistics, coordinated by a program manager. Contacts with registrants and your field force run through the communications center.

  3. Venue and audio-visual check

The program manager walks the room and tests the audio-visual setup, and confirms the arrangements against the legislation for that state.

  4. Faculty arrives

Prepared, on time, and motivated. That is the point of everything before this line.

  5. Attendees sign in

Attendee records are captured, and value exchanges are acknowledged and recorded as they happen.

  6. Presentation and discussion

The speaker gives their best presentation. If a moderator or web producer is part of the format, they are ours.

  7. After the event

    Reconciled and reported

Registrations, attendee records, speaker activity, evaluations, and event transactions are centralized, then reported to you and your compliance team.

From the people in the room.

Faculty, field teams, and brand managers, in their own words.

This past week you executed the largest international physician training event in our history. Your team is to be commended for the outstanding support, hard work, and dedication. Every time I had a question, someone from APEX had the answer. Every time I had a problem, someone from APEX had a solution. Thank you.

PF, Marketing Manager

There are many vendors. You are true partners. Thanks for always going the extra for us. The symposia was outstanding.

CF, Sr. VP Marketing

I want to say what a great job APEX has been doing. Back up supplies were as promised. The quality of the materials is excellent. Everything from soup to nuts was perfect. I would say Apex has anticipated everything, and has a back up plan in place for all of them. Thanks for job well done.

SO, Regional Manager

Apex helped me with a video, teleconferences, and dinner programs. They have great experience working with our sales team and are considered a resource by them. You can always count on Apex for attention to detail, promptness, updates to the team on logistics, etc.

ML, Product Manager

I just wanted to reach out to all of you to thank you again for such an awesome meeting. I truly believe it was one of the best speaker training meetings we have ever hosted.

JC, Senior Education Manager

You have been so diligent in setting up the programs and communicating with me in timely fashion. It has been perfect. Thank you so much for your hard work and endless effort.

Dr. L, National Speaker

It was my first time attending the faculty speaker training meeting this past weekend and thoroughly enjoyed it. You all put in so much effort into it and it shows.

Dr. MK, National Faculty

Just wanted to make sure I sufficiently told you how much I appreciate the activities and coordination of your team. Thanks for all you and the team did to make the program a success!

JG, Area Sales Manager
